Guest book, notes, VIP and Regular
Find a guest, read their history, add staff notes and birthdays, and understand VIP and Regular labels.

The Guests page is your guest book. Search by name, phone or email to see a guest's profile and booking history.
Find a guest
- Open Guests.
- Type a name, phone number or email address.
- Select a result to open the Guest profile.
What the profile shows
- Contact details, Birthday and tags.
- Reservation history and Previous requirements (allergies, seating preferences).
- Staff notes.
- Before ResRes – visit history brought in by a guest import. It's kept separate from visits made through ResRes.
Add notes and a birthday
- Write a New guest note for things the team should know. Notes are for staff only and are never shown to the guest.
- Choose Set birthday and enter a day and month.
VIP
A guest can be marked VIP at a location under Recognition with Mark as VIP. You can add an Internal VIP note, such as "Owner's guest".
- It's for staff only and never shown to the guest.
- Marking VIP sends nothing and doesn't change the guest's email preferences.
Regular
Regular is worked out automatically. A guest is a Regular at a location when they have at least 3 attended visits at that location in the last 12 months. You can't set it by hand. The label tells you the count, for example "Regular · 4 attended visits at this location in the last 12 months".
VIP and Regular help your team recognise guests. They never give a guest priority for tables or offers.
Troubleshooting
- Guest not found: try the phone number or email instead of the name. Spelling of names varies.
- Two profiles for one person: see Merging duplicate guests.
- Regular missing: only attended visits at the selected location count. Cancellations and no-shows don't.
