Deposits

Set deposit rules for online bookings, request a deposit for a phone booking, and waive or withdraw a request.

A deposit is money the guest pays when booking. It's paid into your connected Stripe account.

Before you start

  • Connect Stripe first.
  • Your plan must include guest deposits.
  • Your location needs booking basics set up. Otherwise you'll see "This location has no active booking policy yet".
  • Owners and managers create rules. Waiving a deposit needs a manager or owner.

Create a deposit rule

  1. Open Settings and find Deposits.
  2. Choose New deposit rule.
  3. Choose Per person or Per booking and the amount.
  4. Under Bookings that match, optionally limit it to a Service, days, or Min guests and Max guests. Leave a condition blank to apply it to every booking.
  5. Make sure Rule is active is on and save.

If several rules match a booking, the one with the higher Priority number wins. With no rules, bookings confirm without a deposit. Percentage deposits can't be collected, because ResRes doesn't know the final bill.

Online bookings

Guests are asked to pay when they book. The booking stays pending until they pay. A request has a Pay by deadline. Unpaid bookings expire after it.

Phone and walk-in bookings

When creating a booking, the Deposit section offers:

  • Request a deposit – choose Send by email, text or both, or create a link to copy.
  • Record deposit as unpaid or No deposit request.
  • Waive venue deposit – manager or owner, with a reason.

Texts are only available where text messages are active for your location.

Manage a request

From the booking's Deposit section you can resend, Create and copy link, Set new deadline (earlier links stop working), withdraw it, or Waive (manager). Status labels such as Email queued or Email accepted by mail service show what happened. Accepted by the mail service doesn't prove the guest has read it.

Troubleshooting

  • "New deposit requests are not switched on for this venue": check Stripe is connected and your plan includes deposits.
  • "Created in a different payment mode": a test-mode link can't be paid in live mode. Send a new request.
  • Guest can't pay: check Stripe is still connected and the deadline hasn't passed.
