Guest emails
Which emails guests receive about their bookings, what they contain, and what to check when one doesn't arrive.
ResRes emails guests about their bookings automatically when they've given an email address. These emails are about the booking itself, not marketing.
Emails guests receive
- Confirmation – when a booking is confirmed, with a secure link to view it.
- Changes – when the date, time or party size changes.
- Cancellation – when the booking is cancelled.
- Payment emails – deposit requests, receipts and refund notices, where deposits are used.
- Reminder – an optional email before arrival. See Reminders.
Confirmations, changes, cancellations and payment receipts are sent on every plan and can't be switched off.
What guests see
Emails show your restaurant and location name, the booking details and a secure link. Guests never see staff notes, VIP notes or internal tags.
When an email isn't sent
An email is skipped, not sent, when:
- the booking has no guest email address,
- the booking changed again before it went out, so an older email no longer applies,
- the guest has previously blocked or bounced emails from us.
Status labels in a booking, such as Email queued, Email accepted by mail service or Email failed, show what happened. "Accepted by mail service" means it left ResRes. It doesn't prove the guest opened it.
Troubleshooting
- Guest says nothing arrived: check the email address on the booking, ask them to check spam or junk, then resend where a resend option is offered.
- Wrong details in an email: update the booking. The guest gets a change email.
- Want marketing emails instead? Those are separate, in Marketing.
